Introduction to exporting articles and customizing your export settings.

In this tutorial, we’ll walk you through the process of exporting articles. Whether you want to export a few selected articles or a complete set based on your search filters, this guide will show you how to customize and complete your export.

1. Navigating to the Articles Page

To begin the export process, head to the Articles page by selecting it from the main navigation menu. This is where you’ll choose the articles you want to export.

2. Selecting Articles for Export

There are two ways to select articles for export:

  • To select individual articles, click on the square in the top-left corner of each article block.
  • To select all articles on the current page, click the square icon located at the top of the articles page. This will select every article on that page.

You can keep track of how many articles you’ve selected by looking at the number displayed at the top of the page.

3. Initiating the Export Process

Once you have selected the articles you wish to export, it’s time to begin the export process:

  1. Click on the Action button at the top of the articles page.
  2. Hover your mouse over Export to reveal two export options:
    • Export All: This will export all articles that match your current search filters.
    • Export Selected: This will export only the articles you have manually selected.

For this example, we will proceed by exporting the selected articles.

4. Customizing Export Settings

After initiating the export, you will be taken to the Export Settings page. This is where you can customize your export settings before generating your final file.

  • General Settings: Here, you can upload your own logo and create an export template for future use. Start by entering a name for your new template.

Once you’re happy with the template name, you can move on to the export settings.

5. Customizing PDF and Word Document Exports

To customize your PDF or Word Document export settings, follow these steps:

  1. Use the navigation bar at the top to choose between the PDF and Word Document settings or CSV and Microsoft Excel settings.

  2. Under PDF and Word Document Settings, you’ll see a list of visual elements that you can include in your export. Toggle each element on or off based on your preferences.

    • You can upload custom images for each element. For example, you can add a custom front page for your export or insert your logo in the footer of each page.
  3. Scroll down to configure how your articles will appear in the export. You can decide how much text will be visible for each article—whether it’s a brief excerpt or the full text.

  4. You’ll also have the option to include meta data and summary information with your articles.

6. Customizing CSV and Excel Exports

To adjust the settings for CSV or Microsoft Excel exports:

  1. Click on CSV and Microsoft Excel settings using the navigation bar at the top of the export settings page.

  2. You’ll see two columns:

    • The left column contains available data points that are not currently part of your export.
    • The right column contains the data points to be exported.
  3. You can move data points between the columns by selecting the data and clicking the corresponding arrow to shift them between the available and export columns.

  4. Once you’ve finalized the data points for your export, you’re ready to proceed.

7. Saving Your Export Template

Before you finalize the export, click on the Save icon to save the template you created. This will allow you to reuse the same settings for future exports.

8. Exporting Your Data

To complete the export:

  1. Click on the Export button.
  2. Choose the format in which you want to export your articles (e.g., PDF, Word, CSV, or Excel).
  3. Once selected, your export will begin, and the file will be added to your downloads folder.
